As part of our client’s hiring process, we may request and process sensitive personal information, including criminal history, financial standing, and, where relevant, limited health-related data. We treat all personal data in accordance with Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and any applicable provincial privacy legislation.

What Information Do We Collect About You?

We collect personal information either directly from you or via your prospective employer to support pre-employment screening. This may include:

  • Full name and contact details

  • Date of birth and Social Insurance Number (SIN)

  • Nationality and eligibility to work in Canada

  • Employment history and references

  • Educational background and professional credentials

  • Credit and financial records

  • Criminal record history

  • Proof of identity and immigration status

Unless otherwise stated, providing personal information is optional. However, failure to provide required (mandatory) information may prevent us from completing the screening and may affect your candidacy.

Purpose of Pre-Employment Screening

Your data is used solely to verify the details provided during the job application process, and to support compliance with our client’s recruitment and onboarding policies.

Screening checks may include:

  • Criminal Record Check: Conducted through the RCMP or authorized police services to identify unpardoned (unspent) convictions.

  • Employment and Education Verification: Confirming job titles, dates, and qualifications.

  • Credit Check: For roles involving financial trust, we may work with Canadian credit reporting agencies (e.g., Equifax, TransUnion) to assess your credit history. These checks leave a soft footprint, not visible to lenders or affecting your credit score.

  • Public Records/Adverse Media Check: For senior or regulated positions, we may conduct searches across public records and media sources to identify any reputational risk.

  • Directorship & Sanctions Checks: Relevant for candidates applying for senior or regulated roles (e.g., in finance or governance), we may check public databases for directorships, disqualifications, or sanctions.

  • Fraud Prevention: Where required, we may consult industry databases to verify identity or screen for fraud risk in line with our obligations.

We may use third-party service providers to perform these checks on our behalf. These vendors are contractually obligated to meet strict data protection and confidentiality standards.

How We Use and Share Your Data
  • Your personal data will be used only for the purpose of delivering pre-employment screening services to our client.

  • Results and related findings may be shared with the employer who requested the screening.

  • We do not sell or trade your data. Information is only shared with authorized screening partners and only where necessary.

Your data may be stored on secure servers located in Canada. In limited cases, it may be processed in the U.S. or internationally, subject to adequate safeguards.

Retention of Personal Data

We retain your data for up to 36 months after the screening is completed, or longer where required by the client or applicable law. If a different retention period applies, you may be asked to sign a supplemental consent form.

Access, Corrections, and Deletion

Under Canadian privacy law, you have the right to:

  • Request a copy of the personal data we hold about you

     

  • Request corrections to inaccurate information

     

  • Request deletion of your data when it is no longer required
